One of London’s Top Plastic Surgery Clinics are seeking an experienced Front of House Manager to join their team at a their Prestigious Plastic Surgery Clinic. In this role, you will oversee and coordinate the reception team and associated administrative processes, ensuring a smooth and welcoming experience for patients, visitors, and staff while maintaining the clinic’s high standards of customer service and security.
Front of House Manager Key Responsibilities:
Team Leadership and Management:
- Supervise and manage the front-of-house team and support non-clinical staff groups on-site (such as Patient Care Coordinators).
- Recruit, train, and develop staff, ensuring they are well-equipped to perform their duties effectively.
- Manage staff schedules, allocate tasks, and address performance issues.
- Motivate and inspire the team to deliver excellent customer service.
- Support the Hospital Manager by conducting audits related to front-of-house services and implementing departmental actions.
Patient and Visitor Experience:
- Ensure a warm and welcoming environment for all patients, visitors, and staff.
- Provide information and assistance to patients and visitors, answering questions and directing them to the appropriate departments.
- Handle concerns promptly and professionally, working with the Hospital Manager to resolve any first-stage formal service-based complaints.
- Maintain a clean, tidy, and safe environment in all front-of-house areas, including reception, waiting areas, and public spaces.
Operational Management:
- Oversee the smooth and efficient operation of the front-of-house areas.
- Manage the flow of patients and visitors, ensuring minimal delays and a positive experience.
- Manage the implant checking and ordering process, liaising with Theatres and the National Operations Team to coordinate effectively.
- Implement and maintain clinic policies and procedures related to security, access control, and customer service.
- Monitor and address any issues or problems that arise, ensuring a smooth and efficient operation.
- Oversee and implement effective administrative filing systems to support timely and safe patient admissions.
Security and Safety:
- Ensure the safety and security of patients, visitors, and staff.
- Implement and maintain security procedures, including visitor screening and access control.
- Respond to emergencies and incidents by following established protocols.
- Ensure that the environment is safe, departmental risk assessments are regularly reviewed, and safety testing is conducted when required.
- Act as a Fire Warden and Emergency First Aider.
Communication and Collaboration:
- Maintain effective communication with other hospital departments and staff.
- Collaborate with other managers to ensure a coordinated and efficient clinic operation.
- Represent the clinic to patients, visitors, and external stakeholders.
Administrative Tasks:
- Maintain accurate records and documentation.
- Ensure admissions lists are printed, and patient files are labelled ready for admission.
- Prepare reports and presentations as needed.
- Manage budgets and resources effectively.
- Ensure effective booking of car parking spaces.
- Manage collections and deliveries to premises.
- Ensure daily task lists are consistently followed by the team and work with the National Operations Team and Hospital Manager to streamline administration processes.
Front of House Manager Person Specification:
- Demonstrable experience in leading front-of-house services (ideally in a clinical environment), including budget control and diary management.
- Proficiency in Microsoft Word and Excel.
- Professional and compassionate demeanour when dealing with patients.
- Positive “can-do” attitude.
- Strong organisational and multitasking abilities.
- Excellent written and verbal communication skills.
- Attention to detail and accuracy, especially in handling patient records.
- Knowledge of medical terminology and healthcare practices (desired).
